A Year-End Certification Checklist for Employers

Holiday schedules, planned time off and new hires can make year-end training harder to coordinate. Reviewing your team’s certifications now gives you time to organize renewals and prepare for the months ahead.

Whether you manage a healthcare department, childcare center, fitness facility or workplace team, use this checklist to turn upcoming training needs into a clear plan.

1. Review certification expiration dates

Start with a current roster of employees and their credentials. Include CPR, AED, First Aid, Basic Life Support (BLS), Advanced Cardiovascular Life Support (ACLS) and Pediatric Advanced Life Support (PALS), as applicable to each role.

For each employee, record:

  • Course name and issuing organization
  • Certification expiration date
  • Department, location and shift
  • Target date for completing renewal training

Look beyond December. Identifying certifications that expire early next year helps you avoid starting January with urgent scheduling needs.

2. Include new hires and employees changing roles

Add recent hires, incoming employees and team members moving into new positions to your review.

Check that their existing credentials match your organization’s requirements, and collect any missing certification records. If someone needs initial training, include that in your plan so they are registered for the appropriate course.

Build this review into onboarding to make future tracking easier.

3. Confirm the correct course requirements

Before registering employees, confirm the course, issuing organization and training format your workplace accepts.

Consider whether each role calls for:

  • CPR/AED training
  • First Aid in addition to CPR/AED
  • Adult, child and infant skills
  • BLS for healthcare responsibilities
  • ACLS or PALS for applicable clinical roles

Confirm whether employees need American Heart Association (AHA) or American Red Cross courses. Checking these details before enrollment helps prevent registration mistakes and repeat training.

4. Plan for shift coverage

Review training needs with department managers before selecting dates. Account for overnight staff, weekend teams, planned leave and employees who work across locations.

Determine how many people can attend at once while maintaining coverage. Your team may benefit from separate sessions or a mix of group training and local classes.

For blended courses, include time for both online coursework and the required skills session.

5. Choose a training option that fits your headcount

Group training can help employees learn together and simplify coordination. Lifework Education offers onsite CPR, AED and First Aid training for groups of eight or more, with instructors bringing the equipment to your workplace.

Local open-enrollment classes can help accommodate smaller teams, individual renewals and new hires who need training between group sessions.

Share your headcount, course requirements, location and preferred dates with Lifework’s training team to discuss available options.

6. Schedule training and close the loop

Once dates are confirmed, send employees clear instructions covering registration, location, any required preparation and completion deadlines.

After training, collect updated certification records and enter the new expiration dates in your tracking system. Assign someone to follow up on missed sessions and outstanding requirements.

Set reminders ahead of the next renewal cycle so your team has time to plan.
